What we are looking for:

We are seeking a highly polished professional to deliver first-rate front-of-house assistance and extend an unrivaled welcome to La Fosse to all of our guests and calls.

 

What you will be doing:


Reception - Front Desk


  • Greet and welcome guests, offer them refreshments while they wait, and let the responsible team member know when they arrive.

  • Make a proactive effort to ensure that the office, meeting spaces, and breakout areas are comfortable, well-kept, and furnished with the appropriate equipment.

  • Assume the role of the fire marshal for the office and be responsible for visitors in the event of a fire or other disaster.

  • From 8.30 am to 6 pm, make sure all incoming calls to La Fosse reception and candidate care lines are answered, accepting personal responsibility for seeing to it that the caller's issue is resolved through call transfers, message forwarding, or informational exchanges.

  • Make sure all Candidate calls are accurately logged and handled by protocol.

  • Keep track of all incoming deliveries, and be accountable for their effective collection from or delivery to the right recipients.

  • Maintain the reception inbox and promptly reply to emails.

  • Make travel arrangements for staff members, booking accommodations, flights, trains, and taxis.

  • Help your coworkers with their courier and outgoing mail needs.

 

Meeting Rooms:


  • Use our meeting scheduling system like a pro.

  • Supporting off-site meetings by setting up meeting spaces and making meal arrangements.

  • Make sure the AV equipment is functioning properly, and help the team members with its utilization.

  • Set up catering as needed.

 

Health and Safety:


  • Determine office hazards and accept responsibility for eliminating or escalating them.

  • Access cards should be provided for new hires, and leaving employees should have their access cards returned.

  • Ensure the office and building are secure by working closely with the building management.

 

Stock management:


  • As needed, place orders to maintain stock levels for kitchen and tea point goods and stationary storestationeryice supply outlets.

  • Plan weekly orders for food and beverages for company meetings, birthdays, and other special occasions.

  • Continually monitor and manage spare equipment stock levels (such as laptops, keyboards/mice, laptop stands, cell phones, desk phones, screens, etc.).

 

Facilities and Equipment Maintenance:


  • Maintain our facilities and offices to a high quality by performing daily walkthroughs and taking care of any problems.

  • By updating users, status, location, and other information using our asset management platform, maintain accurate and thorough asset records.

  • Maintain accurate records of the phone numbers assigned to 3CX and mobile Supporting Operations Manager to deal with system failures and business interruptions.

 

Onboarding and Offboarding Employees:


  • With the assistance of our IT staff, make sure that the hardware and user accounts are ready for new hires.

  • Make sure that new hires have their 3CX numbers and mobile phone numbers assigned and available.

  • Make sure to arrange for access to job boards when appropriate, including a LinkedIn license.

  • Make sure the Hiring Manager receives the O365 login information the day before the new starter's start date.

  • Publish access cards

  • Prepare the equipment bag for the next starter and tag the items.

  • Make sure that desks are neat, clean, and organized for new hires.

  • Offboard departing employees by terminating their O365 accounts, blocking their access to job boards, changing their mobile and 3CX numbers, collecting access cards and other items, etc.

Requirements:


This key role is suitable for a proactive and dynamic individual, keen to get to get "stuck in" and passionate about providing excellent support and delivering the very best service to our vibrant team.


  • Office 365, specifically the Microsoft Office suite and Outlook

  • It would be ideal but not required to have knowledge of the NET Access system and 3CX Administration (VOIP phone system).

  • Excellent client service abilities with all parties.

  • Proactive problem-solver who accepts responsibility for seeking answers.

  • Fantastic organizational abilities and the ability to prioritize jobs.

  • Easy to pick up new procedures and systems.

  • Clear communication skills in both writing and speaking, excellent interpersonal and communication skills, including the ability to speak on the phone and email
